Your key responsibilities

As an Executive Assistant, you will be responsible for performing a variety of administrative and office functions. You’ll spend most of your time independently driving the planning, coordinating and delivering business support duties. Partners, Directors and Senior Managers will look to you for best practice and administrative support within all areas.

 

Skills and attributes for success

  • Providing administrative assistance including general administration, typing, information research, filing, formatting, printing out of final copies
  • Demonstrating a broad knowledge and experience of travel and diary management as well asproviding travel arrangements and visa support
  • Performing filing of client and other business related documents on a constant basis
  • Ensuring that archiving procedures are implemented in time as well as keeping an accurate log of files and archived documents
  • Arranging meetings and conferences as required or as assigned
  • Operating within established procedures and standards
  • Developing a strong relationship with co-workers and senior level management
  • Making sure that all potential problems and risks are planned ahead and anticipated

 

 

 

To qualify for the role you must have

  • 1-2 years of  administrative, secretarial and clerical work experienc
  • High organization skills with a sound attention to details and an ability to deliver to tight deadlines
  •  Excellent oral and written communication skills
  • Ability to interact well with people at all levels within the firm and to prioritize own workload
  • Strong business acumen and the ability to make decisive decisions on your own

Ideally, you’ll also have

·      Proficient IT skills (Microsoft Word, Excel, Outlook and SharePoint)

·      Strong work ethics and ability to work under the minimal supervision and be proactive and initiative

·      Advanced level of Azerbaijani, English and Russian both written and spoken

·      Dependability, business maturity, enthusiasm as well as positive and professional attitude

·       A flexible and professional approach, remaining calm under pressure

·      The ability to pre-empt deadline and pursue colleagues for relevant information
